What it means

For the resident

The concern you raised is acted on, and you do not have to repeat a difficult story to each new person.

For your safeguarding lead

Every referral, decision and contact with partner agencies sits in one chronology you can evidence at any time.

Safeguarding concerns that are seen, shared and acted on

Raised wherever the concern appears

A repairs operative, a housing officer or a contact centre colleague can raise a safeguarding referral from the case they are already working on.

Vulnerability on the record

Vulnerability flags sit on the resident record, so every colleague who opens it sees the context before they act.

Multi-agency work in one place

Contact with social care, police and support agencies is recorded on the case rather than in an officer's own notes.

Related cases linked

Hoarding, ASB, domestic abuse and disrepair cases for the same household can be linked, so a pattern is visible across teams.

What our safeguarding case management software covers

Everything a safeguarding lead needs to evidence what was done, by whom and when.

A resident on the phone at home

Referrals from anywhere

Safeguarding referrals raised from any channel, or from any case a colleague is already working on.

Vulnerability on the record

Vulnerability and risk flags on the resident record, visible to every colleague who opens it.

Partners and linked cases

Contact with partner agencies recorded, with hoarding, ASB, domestic abuse and disrepair cases linked.

Follow-up and evidence

Tasks, reminders and SLA monitoring, a full chronology, and reporting on open referrals and outcomes.

How it works

The path a safeguarding concern takes, from first sighting to closure.

  1. Concern raised

Any colleague raises a safeguarding referral from the resident or case record they are working on.

  2. Assessed and assigned

The referral is assessed, given an owner and linked to related cases for the same household.

  3. Actions and referrals

Contact with partner agencies, visits and support are recorded on the case as they happen.

  4. Reviewed and closed

The case closes with an outcome and a complete chronology, or stays open with the next review date tracked.

What safeguarding in housing has to get right

Safeguarding sits across every service. A concern spotted during a repair or an ASB case should reach the right person the same day, and residents who need extra help with their tenancy should get it through tenancy support. Propsys360 keeps all of it on the same housing case management system (CMS), so the full picture is never split across teams.

More of the platform

Each part of Propsys360 works from the same tenancy, property and person record, so nothing is re-keyed and nothing drifts out of step.

“We realised that we had a gap around the golden thread of data, in terms of the availability and accessibility of the data we held in seventeen different systems… That meant colleagues could immediately see all non-compliant properties.”

Frequently asked questions

Who can raise a safeguarding referral?

Any colleague with access to Propsys360, from the case or resident record they are already working on, so a concern seen during a repair or a tenancy visit is captured straight away.

Does Propsys360 replace the local authority safeguarding process?

No. Propsys360 records your organisation's referral, actions and contact with partner agencies, so you can evidence what you did and when. The statutory enquiry stays with the local authority.

Can a safeguarding referral be linked to other cases?

Yes. A safeguarding referral can sit alongside hoarding, ASB, domestic abuse or disrepair cases for the same household. See anti-social behaviour and complaints handling.

See a safeguarding referral followed through

We will follow a referral from first concern to closure using realistic case data.
