Implementation & Migration
Your transformation. Your pace. One experienced delivery team.
Phased transformation, lift and shift, big bang, or a combination of all three. Neo works with you to choose the route that fits your organisation, your technology and the outcomes you need.
There is no single right way to replace a housing management system
Some organisations want to move progressively, introducing new capabilities while existing systems continue to operate. Others want to move quickly, migrate what they already have and modernise once the new platform is established. Some have the organisational readiness to move to a new platform in a single major cutover.
Propsys360 supports all three. Neo works with you to determine the implementation approach that best fits your organisation, your technology landscape and the outcomes you need to achieve.
Phased transformation. Lift and shift. Big bang. Or a combination of all three. The technology is flexible enough to support the approach that is right for you.
Implementation starts with understanding your organisation
We do not begin with a standard implementation template and expect your organisation to fit around it. Our housing subject matter experts, architects, delivery specialists and technologists work alongside your teams to understand how your services operate today, what needs to change and where technology can make the greatest difference. We look at:
- Your operating model
- Customer and colleague journeys
- Existing systems
- Data
- Integrations
- Business processes
- Regulatory requirements
- Current contracts and dependencies
- Organisational capacity for change
- Priorities and risks
- The outcomes you want to achieve
From there, we agree an implementation roadmap that is practical, achievable and appropriate for your organisation.
One platform. Different routes to get there.
Every housing organisation starts from a different place. Some want transformation. Some need rapid replacement. Some want to move one service at a time. Some only need to solve one immediate priority. Some are ready to move everything together. We support each approach.
Priority module
Implement one capability to address an immediate business, regulatory or service need, while continuing to use your existing systems elsewhere.
Phased
Move progressively, manage change and deliver value incrementally.
Lift and shift
Move onto a modern platform quickly, then optimise and transform.
Big bang
Make a coordinated move across the organisation with detailed preparation and controlled cutover.
Hybrid
Combine approaches around your priorities, dependencies and existing technology.
The important thing is not following a prescribed implementation methodology. It is choosing the approach that gives your organisation the best balance of pace, risk, disruption and value.
Phased transformation
Change progressively, prove value and reduce disruption. Individual services, modules or business areas move to Propsys360 over time while your existing systems continue to operate. For example, an organisation might introduce:
Asset Management and Compliance
First.
Repairs and Contractor Management
Followed by.
Case Management
Then.
Tenancy, Income and wider housing management
Later.
Integrations allow the new and existing technology to coexist throughout the programme. This approach can be particularly effective where organisations want to manage change carefully, align implementation with existing contract end dates or demonstrate value before moving additional services. A phased approach can help you:
- Reduce implementation risk
- Limit organisational disruption
- Deliver benefits earlier
- Spread change across manageable stages
- Align migration with legacy contract expiry
- Allow colleagues to adapt progressively
- Test and refine processes before wider rollout
- Avoid unnecessary big-bang transformation
Each phase can deliver meaningful operational value rather than simply being another technical milestone.
Lift and shift
Move first. Optimise next. Not every organisation wants to redesign every process before moving to a new technology platform. A lift-and-shift approach allows existing processes, data and operating models to be moved into Propsys360 relatively quickly. The immediate objective is to establish a modern, supported technology foundation and remove dependency on the legacy platform. Once established, the organisation can progressively:
- Simplify processes
- Introduce automation
- Improve workflows
- Remove duplication
- Introduce self-service
- Improve reporting
- Consolidate applications
- Take advantage of additional Propsys360 capabilities
This separates the risk of technology replacement from the wider challenge of business transformation. For organisations facing an ageing platform, end-of-life technology, increasing support costs or a fixed contract deadline, this can provide a pragmatic route forward.
Move. Stabilise. Improve.
Rather than attempting to solve every organisational issue during implementation, lift and shift provides a new technology foundation from which continuous improvement can begin.
Move
Establish a modern, supported foundation and leave the legacy platform behind.
Stabilise
Bed in the new platform with your existing processes.
Improve
Simplify, automate and extend once the foundation is in place.
Big-bang implementation
One coordinated move to the new platform. For some organisations, a single cutover is the right approach. A big-bang implementation moves agreed services, processes, integrations and data onto Propsys360 as part of one coordinated go-live. This can avoid a prolonged period of maintaining two environments and can accelerate the point at which the organisation receives the full benefits of an integrated platform. It requires detailed preparation, strong governance and significant testing. Neo's delivery approach includes:
- Detailed discovery
- Solution design
- Configuration
- Integration development
- Data migration
- Data reconciliation
- End-to-end testing
- User acceptance testing
- Training
- Cutover rehearsals
- Go-live planning
- Rollback planning
- Hypercare and operational support
The objective is not simply to make the technology live. It is to make sure the organisation is ready to operate successfully from day one.
Or combine the approaches
Large transformation programmes rarely fit neatly into one category. An organisation might lift and shift its core housing functionality, introduce asset management as a transformation programme and retain finance through integration. Another might implement Propsys360 Asset Management immediately while progressively moving tenancy, repairs and income away from its existing HMS.
The implementation strategy can therefore combine different approaches across different parts of the organisation. Propsys360 has been designed to support this kind of coexistence.
Keep what works. Replace what doesn't. Transform where it adds value.
Coexistence makes phased transformation possible
A phased implementation only works when old and new technology can operate together. Our integration platform allows Propsys360 to coexist with existing:
- Housing management systems
- Finance platforms
- Scheduling systems
- Contractor applications
- Compliance systems
- Document management platforms
- Payment providers
- Customer portals
- Data platforms
APIs, events, messaging and data integration allow information to move between the platforms while functionality is progressively migrated. This means transformation does not have to wait until every legacy application is ready to be replaced.
Data migration
Know what you have before you move it. Data migration is much more than extracting one database and loading another. Legacy housing systems often contain decades of information, configuration and history, so our migration process begins by understanding that data.
Understand the data
We work with your teams to identify:
- Data sources and ownership
- Data structures and historic information
- Duplicates, quality issues and missing information
- Relationships between records
- Documents and attachments
- Integration and reporting dependencies
Do not migrate problems blindly
Moving platform is a chance to improve the information carried forward. Where appropriate, migration can include:
- Cleansing, deduplication and validation
- Transformation and normalisation
- Reference-data mapping
- Address, property and customer matching
- Exception reporting
Data is mapped into the Propsys360 data model and tested through repeatable migration cycles. We do not silently discard information that does not map correctly: exceptions are identified, reported and resolved with the people who understand what the information means.
Migration rehearsal and reconciliation
Migration should not be tested for the first time at go-live. We run repeatable migration cycles so that the process, timings and outcomes can be validated ahead of cutover. Each cycle can include reconciliation of:
- Record counts
- Account balances
- Property and customer records
- Tenancies
- Repairs and cases
- Assets and compliance records
- Documents
- Historic activity
Differences are identified and investigated before final migration. By the time the organisation reaches go-live, the migration process itself should already be familiar.
Integration migration
Replacing a housing management system also means dealing with the technology connected to it. During discovery, we identify the interfaces and dependencies around the legacy platform. These might include:
- Finance and payments
- Scheduling and repairs contractors
- Compliance
- Customer portals
- Document management
- CRM and Microsoft 365
- Data warehouses and Power BI
- Regulatory reporting
Interfaces can then be replaced, re-pointed or redesigned as part of the implementation. This ensures the programme considers the wider technology ecosystem rather than the housing management system alone.
Start with the priority that matters most
Not every organisation starts with a full transformation programme. Some customers begin with a single Propsys360 module to address an immediate operational, regulatory or service priority. That might be:
- Asset Management
- Compliance
- Stock Condition Surveys
- Damp and Mould
- Repairs
- Case Management
- Service Charges
- Contractor Management
- Customer Portal
The module can be implemented as a standalone capability and integrated with the organisation's existing housing management, finance, scheduling or compliance systems. This allows the organisation to solve an immediate problem without waiting for a wider technology transformation to begin. It also provides an opportunity to prove the platform in a live environment, demonstrate value and build internal confidence before deciding whether to extend Propsys360 into other areas.
Start small. Expand when it makes sense.
A single-module implementation does not have to become a wider programme. It can remain a focused solution where that is the right outcome. Alternatively, organisations can progressively add further Propsys360 capabilities as priorities, contracts and budgets change. For example:
Compliance first
Compliance → Asset Management → Stock Condition → Repairs → wider Housing Management.
Damp and Mould first
Damp and Mould → Case Management → Repairs → Customer Portal.
Because the modules share the same underlying platform, data model, workflow capabilities and integration layer, organisations can expand without repeatedly starting again with a new technology stack.
More of the platform
Each part of Propsys360 works from the same tenancy, property and person record, so nothing is re-keyed and nothing drifts out of step. Most providers start with one or two and add the rest as their existing contracts end.
