What it means

For the resident

Support can start earlier and reflect the household situation, with simple payment options and clear arrangements rather than one standard recovery journey.

For your Income team

See account position, payment history, support context, contact attempts and arrangements together so officer time goes to the cases where action matters most.

Intervene early, recover more, evict less

Risk before arrears

Payment-pattern changes can surface accounts that need attention before debt becomes harder to resolve.

Contact that lands

Card, Direct Debit and portal options remove unnecessary friction from payment and arrangement journeys.

Payment made easy

Payment plans and commitments remain visible, with tasks and escalation when an agreed action is missed.

A defensible record

Payments, communications, support and decisions stay on one record if a case later needs formal action.

What Propsys360 covers for income management

  • Rent, service charge and former tenant arrears
  • Secure card payments and direct debit management
  • Predictive risk scoring on payment behaviour
  • Automated and manual payment arrangements
  • Multi-channel contact — SMS, email, letter, call
  • Universal Credit and housing benefit reconciliation
  • Escalation pathways with full audit trail
  • Court and legal action case tracking
  • Welfare and money advice referral recording
  • Arrears performance reporting by patch, scheme and officer

How it works

The path a case takes from the moment it arrives, and what happens automatically at each step.

  1. Payment behaviour monitored

The system watches for the changes that precede arrears — a missed direct debit, a shift in payment timing — not just the balance.

  2. Risk flagged early

Tenancies trending toward difficulty surface to the officer while intervention is still a conversation rather than a notice.

  3. Contact made appropriately

Channel, timing and tone are matched to the household, including any vulnerability flags on the tenancy record.

  4. Arrangement tracked to conclusion

Agreements are monitored automatically, and a broken arrangement escalates without an officer having to notice.

Built into every module

Workflows, a rules engine, notifications and tasks run underneath every part of Propsys360. Routine work moves on by itself, so your teams can focus on the edge cases and the residents who need extra support.

Notifications on every channel

Residents are kept informed at each step by SMS, email and the customer portal, without anyone sending updates by hand.

Multi-channel and omni-channel

Residents can get in touch by phone, portal or email, and switch between them. The record and the history follow them, so nobody has to repeat themselves.

Automation

Workflows and the rules engine move routine work on automatically: appointments, reminders, follow-ups and escalations before a deadline is missed.

Tasks for the right role

Each step raises a task for the role that owns it, with a due date in the diary, so work reaches the right person without being chased.

What you can achieve

More targeted officer time

More targeted officer time and earlier, more sustainable arrangements.

Less manual reconciliation

Less manual reconciliation, with 1.3m+ payments processed through one connected ledger.

Live visibility of movement

Stronger evidence and live visibility of collection and arrears movement.

What income and arrears management has to get right

Housing runs on specifics — statutory timescales, tenure types, the return that has to be filed next month. This is the detail that decides whether a system survives contact with your operation, and the reason a general-purpose platform usually cannot.

  • Rent accounting across all tenure and charge types
  • Arrears escalation with configurable stages
  • Payment plans and affordability arrangements
  • Direct Debit management and reconciliation
  • Housing Benefit and Universal Credit handling
  • Court preparation and possession workflow
  • Legal referrals and outcome tracking
  • Recharges, refunds and adjustments
  • Income forecasting and collection performance
  • Vulnerability and support routes before enforcement

More of the platform

Each part of Propsys360 works from the same tenancy, property and person record, so nothing is re-keyed and nothing drifts out of step. Most providers start with one or two and add the rest as their existing contracts end.

“We realised that we had a gap around the golden thread of data, in terms of the availability and accessibility of the data we held in seventeen different systems… That meant colleagues could immediately see all non-compliant properties.”

Frequently asked questions

How does the prediction actually work?

It learns from your own arrears history — which payment patterns preceded difficulty in your stock. It is a prompt for an officer to make contact, never an automated enforcement decision.

Does it make decisions about people automatically?

No. It prioritises who an officer should contact. All decisions about arrangements, escalation or legal action remain human ones, which also keeps you the right side of automated decision-making rules.

Does it handle Universal Credit?

Yes, including managed payments, APAs and the reconciliation work that comes with direct payments to landlords.

Can we still run our existing arrears policy?

Yes. Escalation stages, thresholds and letter templates are all configured to your policy — the module changes when you act, not what your policy says.
