Propsys360 — Next Generation Housing Technology

The Propsys360 platform module by module — tenancy, repairs, assets, compliance and case management on one connected record.

The pressures the platform was built for

Propsys360 exists to answer a specific set of problems social housing providers are dealing with at once: ageing stock, rising costs, and a regulator asking for more evidence more often.

Those pressures are not independent. Ageing stock generates more repairs; more repairs consume the budget that would have improved the stock; and the evidence the regulator wants sits across both. A system that handles one of them in isolation tends to move the problem rather than solve it.

One record, module by module

The platform covers assets, compliance, repairs and maintenance, service charges, building safety and the whole of tenancy management — but the point is not the module list. It is that they share one record.

When a repair, a compliance inspection and a service charge apportionment all refer to the same property, and every tenancy interaction refers to the same resident, the questions that usually require a data project become ordinary queries. Which homes have an open damp case and a gas check due? Which scheme is absorbing communal spend that was never apportioned?

Modular, so it can be adopted in stages

The platform is deliberately end-to-end but adopted process by process. That matters because the alternative — replacing a housing management system in one move — is the single riskiest thing a provider can do to its operations.

Taking one process at a time lets each stage pay for itself, and lets an organisation build the delivery capability it needs on something smaller than a full migration.

What it is designed to commit to

The commitments behind the product are worth stating plainly, because they are the things providers are usually let down on:

  • Cost-effective, iterative change rather than a single transformation
  • Access on any device — mobile, desktop and tablet — because housing work is not done at a desk
  • Integration with AI and machine learning, and with IoT and smart devices
  • Freedom to access and change the code, so a provider is not locked out of its own system
  • Increased use of data, analytics and reporting, from one source
  • A partner that can respond quickly

That fourth point is the unusual one, and it is the one worth asking any supplier about.

What the modules cover

Service charges, building safety (the golden thread), repairs, asset management, case management, contractor and customer portals, payments and arrears, damp and mould, stock condition surveys and tenancy management — each one reading from and writing back to the same property and person record, rather than a separate copy of the truth.

Where this leads

Getting the operational record into one place is not, in itself, the interesting part. It is the precondition for everything providers now want to do — self-service that tells residents the truth, analytics that are not built on reconciled exports, and AI that has something reliable to reason over.

"An exciting opportunity to transform lives using technology to achieve better customer-focus, greater cost efficiencies, and more impactful solutions for driving greater social value."

What housing providers say

Named people at named organisations, in their own published words.

“We realised that we had a gap around the golden thread of data, in terms of the availability and accessibility of the data we held in seventeen different systems… That meant colleagues could immediately see all non-compliant properties.”
